FleetCollect, a compliance platform for small-to-mid-size trucking fleets, has introduced automatic SMS reminders that alert drivers when their required documents are nearing expiration. The feature aims to help carriers maintain audit-ready Driver Qualification Files (DQF) by eliminating the manual process of chasing down renewals.
Under FMCSA regulation 49 CFR §391.51, carriers must maintain 18 documents per driver, including pre-employment records, annual reviews, and ongoing testing. These files are often the first item DOT auditors inspect and are frequently found deficient due to lapsed medical cards, overdue MVR reviews, or outdated CDL copies. FleetCollect's new text reminders address the most common failure point: forgotten renewals.
The system automatically sends SMS messages to drivers at 30, 14, 7, and 1 day before a document expires, and again if it lapses. Each text includes a secure link for drivers to upload their renewal documents directly from their phone. The reminders are included in every plan at no extra cost and require carrier-attested driver consent, with an option to opt out by replying "STOP."
